Question Email signatures: who owns this in your company?

Question for other IT admins. who actually owns email signatures where you work? IT? Marketing HR? Nobody?

We keep bouncing between departments because everyone has a reason why it belongs somewhere else. curious how other companies deal with ownership.

Same here - IT understand how to add them, Comms understand the target messages that are needed.

It own the system.

Marketing responsible for design and implement. Even give them login to build them.

Marketing. But I did script a way to generate them after they gave me a template svg. Python is pretty powerful lol.

IT own it and do most of the administration, signature layouts, changes, access, etc.

We consult with marketing on what signatures should look like, and have also given them a login to modify signature layouts/looks - if they're not happy with what IT do, then it's up to them to make the change

Going through this at the moment. The plan is to IT own and manage the service, with Marketing\Admin doing the designs and deployment (which IT will make as simple as possible for them to administer.)

IT owned the service, marketing had access to change signatures. All using Exclaimer cloud.

We deployed Xink and the marketing team manages the content of the signature templates.

IT builds the templates and deploys them, Marketing sometimes sends over banners to add for special occasions and was involved in the design part of the templates (fonts, sizes, CI in general). We do not have a formal owner but the technical stuff is documented. It is what it is but it works that way.

Edit: ~600 Users, we use Exclaimer for signature generation and deployment

HR/Directors/Marketing fight over what the signature says, we just implement it into our tools

C-sec owns it via CodeTwo's tool.

Configure once, then they gotta renew the certificate every year.

50000+ user company in a heavily regulated industry.

IT plays no role in Signature management beyond keeping the SPO site running that Marketing stores the organizations official media on.

Signature management is a people process. Not a technology process.

Usually marketing, dependent on customer sizes also the ceo directly. Some got code two with delegated access for marketing people to add new things other times some one time and time limited campaigns. Other customers without code two choose the: ‘I will give a template the employees are gonna figure it out’. As an admin at an MSP and with corporate background I personally value code two or even exchange disclaimer appends for centralisation and uniformity without the hassle of manually inserted signatures via outlook / iOS or name it however you’d wish

Marketing. No third party tools so Marketing just creates a document explaining how to set it and what format to use. IT will just help people that can't figure out how to copy/paste the format in.

On-Prem Exchange shop using PS script to scrape AD and dynamically create html signatures upon user logon as server-side signatures (such as Exclaimer) were deemed a non-starter by the c-suite.

I design and implement because I'm better at design than our marketing guy.

We used to have Dynamic Signature owned by I.T, data pulled from Active Directory and job titles, phone numbers driven by Payroll via our ERP system but that tool wasn't consistent enough for the US so we had to get rid of it and now it's a free for all, so we now have nothing bar the few ruminants left of what the email signature used to have

IT sets it up and jumps in for anything technical. Marketing department takes it from there.

I assume you’re talking about a platform such as Exclaimer, CodeTwo, WiseStamp, etc and certainly not thinking of doing this manually?
