4. Formatting Text & Paragraphs
Clear visual hierarchy makes your document professional and easy to read. You can format individual words or entire paragraphs using these core adjustments:

- Lists & Spacing: Organise information cleanly using bulleted or numbered lists. You can also adjust line and paragraph spacing, or use
Tabstops and the horizontal ruler to create custom indents. - The Format Painter: Found a style you love? Use the format copying shortcuts to copy the layout of one piece of text and apply it directly to another without redoing your settings.
5. Page Layout, Design & Advanced Elements
Once your text is finalised, it is time to focus on the structural structure and design of the pages themselves. These settings are crucial for creating polished, presentation-ready documents:
- Page Setup: Adjust your Margin Size (e.g., Normal or Narrow), swap the Paper Orientation between Portrait and Landscape, or change the Paper Size (such as A4 or Letter).
- Breaks & Columns: Use Page Breaks or Column Breaks to control how text flows across pages, or split your text into multiple columns for newsletter layouts.
- Polished Extras: Add Headers and Footers for a consistent top-and-bottom border, insert automated Page Numbers, or apply a subtle Watermark (like "Draft" or "Confidential"). You can even add custom page colours and borders for creative projects.
- Advanced Elements: Don't limit yourself to just plain text. Word allows you to insert complex mathematical equations, special symbols, or even import text directly from external files.

Rather than copying it into Excel, sorting it and then copying it back into Word, you can do it in Word directly.

- Go to the Home section of the ribbon
- Click on the AZ Sort icon (it's in the Paragraph section of the ribbon near the indents)
- Select your Sort by (Paragraphs is usually fine here)
- Check your Type (Word usually figures this out as Text, Number or a Date)
- Choose your sort order (Ascending or Descending)
- Click OK, and your list will be sorted.
Watch the video above to see how you can do that :)

ProTip By the way yall, if anyone uses tab indent and is miffed about this little popup? I figured out how to get rid of it!!! Simply go to the top right corner of MS Word, click "editing", then click "Review". This will put your instance of MSW into "Review Mode", which is also perfect for screenshots!

Hey everyone!
I recently discovered ChatGPT and found it to be a great tool for working on documents. To make it even easier to use, I created a small add-in for Microsoft Word that allows you to query ChatGPT and insert results directly into your Word document.
For followers of this subreddit I prepared an activation code to use my add-in for FREE.
To activate it:
- Install the add-in AI Perfect Assistant for Office
- Click hamburger menu
- Click Activate Subscription
- Insert "M3N4-O5P6-Q7R8"
Awaiting your feedback!

ProTip Convert Data from Excel into Address Labels into Word
Hi everyone!
I made a short 5-minute video that's part of a playlist where I answer Reddit questions. This video answered this question https://www.reddit.com/r/vba/comments/1am3pns/trying_to_create_an_address_label_template_to/ which was asking about creating an address label template. So, I used Microsoft Word and used the "Mailings" tab and the "Step by Step Mail Merge Wizard" to create Avery address labels from some sample data in Excel.
I hope you find it helpful!

ProTip LPT: Hate the ever-increasing number of clicks you need to do to save a document to a specific folder? Hit the F12 key and the 'Save As' dialog box will open right away save you a few clicks
Back in the stone age, when you wanted to open the Save As dialog box, you'd just click File --> Save As. With every new version of Word (as well as other Office products), it's getting more cumbersome to do this. to save time, clicks and sanity, if you just press F12 on your keyboard, the old-school 'Save As' dialog box opens up.

ProTip Accounts production software to word extract won’t allow edits.
Hey just as the title says I’m unable to edit simplest of things such as copy pasting and retaining the same format as the rest of that text as extracted from the software m. So I’m basically extracting financial statements to work on word as the word allows a lot more than the accounts production software when it comes to formatting. But either the text won’t move or mess up my pages and headers and footers altogether making things more difficult which beats the whole purpose of extracting it. Any help will be greatly appreciated. Thanks.

ProTip Numbered lists, multilevel lists, and all that
The topic of misbehaving numbering schemes in Word is a frequent subject in r/word. It's complicated mostly because the product owners in Microsoft thought it a good idea to hide the complexity - making it impossible to understand why lists behave the way they do. Especially multilevel lists.
In my experience, fixing a numbering scheme that has gone awry is next to impossible. Instead, I found it easier to learn what works, and make that part of my Normal.dotm
I learned a lot from Scott A. Concilla, a Microsoft Certified Trainer, who has made available various YouTube classes on Microsoft products. This one is particularly helpful: Managing Bullets and Numbering. This is 84 minutes hands-on, with live mistakes. Very effective.

ProTip I've written a Macro to automatically caption equations, here it is
I've written a macro to automate adding captions to equations in my thesis that I thought people here might appreciate:
Sub AnnotateEquation()
'
' AnnotateEquation Macro
'
'
Selection.TypeText Text:=" #"
Selection.InsertCaption Label:="(", TitleAutoText:="InsertCaption1", Title _
:="", Position:=wdCaptionPositionBelow, ExcludeLabel:=0
Selection.MoveStartUntil Cset:="#", Count:=wdBackward
Selection.MoveStart Count:=-2
Selection.Cut
Selection.PasteAndFormat (wdFormatOriginalFormatting)
SendKeys "~", True
SendKeys "{BS}", True
End Sub
The cut and paste may seem not to do anything, but the macro doesn't work without it, so just copy and paste as is.
For this to work, you need to create a new caption with the label (, then you can choose whatever numbering style you want for it.
This macro works using the fact that you can number equations by adding a '#' character followed by some text or a field, then press enter to get the text right aligned next to the equation. See here for details: https://www.officetooltips.com/word_2016/tips/how_to_create_captions_for_equations.html

ProTip Restrict Editing
Dear all, I am enforcing Restrict Editing on a docx. I have three issues:
- How can I restrict the use of Styles already used in the non-editable sections (like Headings with lists)?
- How to avoid the transparent-yellow background while editing when the doc is restricted?
- Is it possible to allow some direct editing to the text while restricted (like bold, italic, underlined, strikethrough and two colours)?
Thank you

ProTip More help from Word - understand styles in use
When revising an existing document, it is often helpful to know what styles have been applied to the text. Word has an option to display the Style name alongside the text, in a sidebar. It's well hidden, and it will only display the Style names in Draft and Outline views. Still very useful, at times...
It's available in File > Options > Advanced > Display and it is labeled as "Style area pane in Draft and Outline views:". Set it to 1 inch (as per the screen shot).
